EXECUTIVE CODE OF CONDUCT AGREEMENT 

This agreement made and entered into upon submission of this form, between the University of Iowa Undergraduate Student Government Executive Leadership and the position indicated below, held by the undersigned, outlines the expectations and responsibilities which justify payment and employment. 

Additionally, all executives are bound by the rules and regulations outlined in the USG Constitution and USG bylaws. 

This Agreement shall begin on May 1st, 2022, and ends on May 30th, 2023, unless terminated earlier. Termination or resignation may be initiated by either party given two (2) weeks written notice. The President may only initiate termination for failure of the undersigned to fulfill the responsibilities and expectations enumerated below. 

 

DEFINITIONS 

Executive Leadership will be defined at the President, Vice President, and Cabinet Director.

Excused Absences shall be defined as including (but not limited to) the following list. All other absences will be reviewed on a case-by-case basis at the discretion of Executive Leadership. 

  • Exams 

  • Illness  

  • Funeral 

  • Religious Holiday or Holy Days of Obligation 

  • Military Service 

  • Wedding 

  • University-Sponsored Activity 

  • Emergency/Unavoidable Circumstances 

  • Jury Duty 

Professionalism shall be defined as not presenting or posting oneself in pursuing activities that are illegal, insulting to other students, professionals, identities, etc., or other action that would result in a conduct meeting with Executive Leadership and/or the USG Advisors. 

 

RESPONSIBILITIES AND EXPECTATIONS 

The USG President may initiate termination of position for failure to fulfill the following, or for participating in conduct listed under "Personal Conduct": 

 

Communication  

  • Maintain an updated Outlook Calendar at least one (1) month into the future 

  • CC the Cabinet Director on all USG-related email correspondence 

  • Respond within 2 business days to correspondence 

  • Be open and responsive to student questions and engagement through any format (including but not limited to email, face-to-face interaction, etc.) 

  • Communicate to the Executive Leadership any conflicts which will impact the fulfillment of the Responsibilities and Expectations 

  • Absences shall be reported to the Executive Absence Form on SharePoint no less than 24 hours in advance in order to be excused (with the exception for emergencies or sudden illness). 

  • Time Off shall be requested via the Executive Time Off Form on SharePoint with no less than a week’s notice in order to be approved (with exception for emergencies) 

  • Ensure that the USG Office (260B IMU) is a productive workspace with appropriate discussion and language for representatives of the student body 

  • Maintain professionalism on all personal and USG social media platforms 

 

Record-Keeping 

  • Use the shared USG SharePoint to create and store relevant documents 

  • Communication Teams members will also agree to maintain and store important documents, projects, and templates in Canva 

  • Create, maintain, and/or update working transition documents including sharing these with Executive Leadership at the mid-year point to be shared with incoming administrations 

  • Make continual progress towards goals outlined by the 2022-2023 USG Platform and goals agreed upon individually with the Cabinet Director  

  • Demonstration of progress will include filling out the Executive Reports, attending required one-on-ones, and completion of any other tracking forms requested by Executive Leadership or USG Advisors 

 

Personal Conduct: 

  • Posting unconstructive, negative content, actively/negatively attacking USG and/or its individual members, and/or acting in a way that is against the University of Iowa College of Liberal Arts and Science (CLAS) diversity, equity, and inclusion statement (as outlined below) 

  • Together, we strive to foster a nurturing and productive environment for all students, staff, and faculty, irrespective of their race, ethnic and national background, gender, sexuality, age, religious affiliation, physical ability, social class, and national origin. 

  • Engaging in unconstructive, negative arguments about University of Iowa affairs 

  • Posting unconstructive, negative content and/or attacking/negatively singling-out specific students and/or student organizations 

  • Creating an unwelcoming environment for any student, group, identity, etc. through microaggressions, discrimination, harassment, or other harmful action. 

  • Performing any action of discrimination as outlined by the University of Iowa Nondiscrimination Statement below 

  • “The University of Iowa prohibits discrimination in employment, educational programs, and activities on the basis of race, creed, color, religion, national origin, age, sex, pregnancy (including childbirth and related conditions), disability, genetic information, status as a U.S. veteran, service in the U.S. military, sexual orientation, gender identity, or associational preferences.   • Having laptops open or engaging in other disrespectful behavior (such as playing on your phone) during open access presentations 

  • Engaging in disrespectful behavior (such as speaking loudly) during Senate Sessions.

 

Meetings 

  • Attend and actively observe Student Senate Sessions unless previously excused by the Cabinet Director including committee meetings during both blocks of committee time 

  • Although Executives are only assigned to a single committee, they will be expected to attend and sit in on other committee during their “off block” in order to create a culture of cross-committee collaboration 

  • Exceptions will be made for Excused Absences and other meetings scheduled that are previously approved by the Cabinet Director 

  • Attend and actively engage in Executive Cabinet meetings unless previously excused by the Cabinet Director 

  • Attend and actively engage in all other meetings required for your position 

  • This may include but is not limited to: University committees your position sits on (ex. Cabinet Director serves on the University Events Committee), requested meetings with campus partners, Executive Leadership check-in meetings, meetings with your committee chairs or committee members, and other requested meetings with students. 

  • Attend and actively engage in all other required USG or required Executive Cabinet events 

  • This may include but is not limited to USG Retreat, Executive Retreat, DEI training(s), and Transition Day. This list is subject to change year-to-year and may have additional requirements added at the discretion of Executive Leadership 

 

Committee Meetings 

  • Maintain a professional and working relationship with the respective committee chair and members of the respective committee; this includes but is not limited to 

  • Being attentive and actively engaged during Committee Meetings 

  • Committed to the effective work of the Committee and supportive of the Committee Chair(s) and Committee Members 

  • Holding monthly one-on-one meetings with your Committee Chair(s) 

  • Cc’ing your Committee Chair(s) on all relevant communication 

 

Office Hours 

  • Fulfill the required 2 office hours per week in the USG office in which time is devoted to accomplishing USG initiatives or conducting outreach for USG  

  • Schedule at least 1 hour of public office hours to be published on the USG website and social media in which you will be in the USG office with the door open and are free to speak with students 

  • Fulfilling the required 2 USG events per semester 

  • Events will be communicated by the Director of External Relations and Cabinet Director  

  • Fulfill and complete all aforementioned progress tracking requirements such as Executive Reports 

 

PRIOR TO TERMINATION 

To ensure a productive environment, the following steps will be taken prior to termination:  

 

1. An initial email of warning will be sent by a member of Executive Leadership. 

 

2. A meeting with Executive Leadership and the USG Advisors will be held to clearly identify the failure and identify ways to rectify the failure. *

 

3. Should the failure to fulfill expectations continue after the above actions are taken, then termination of the undersigned will be initiated. 

*If the action resulting in a disciplinary meeting aligns better with the process outlined in Section B Point 8 of the USG Bylaws.
